Use the ballot entry wizard to record votes cast on printed paper ballots.
Both individual and bulk entry methods are available for recording votes, providing flexibility based on the number of ballots to process.
NOTE: Mobile app votes are already recorded automatically.
Launch the ballot entry wizard
Click Balloting from the lefthand menu on your Dashboard
Click Record votes
Choose an event
Click Launch Ballot Entry
The ballot entry wizard is designed to make it easy to go through ballots as quickly as possible. Simply select the rating reflected on the paper ballot at the top of your pile, click Submit ballot, and repeat for each paper ballot!
For processing a large volume of ballots efficiently, consider using the bulk entry feature described below.
A running count of both the number of ballots entered during a given counting session and the total number of ballots recorded for the event will show your progress.
When using the bulk entry method, the running count will automatically update to include all totals entered.
Although ballots can be entered using your mouse, it is much faster to use the keyboard.
Use the number keys to enter each vote (1=A, 2=B, etc.).
For events with multiple films, enter votes in top-to-bottom, left-to-right order (i.e. enter all of column one, then all of column two).
Verify you have entered the votes correctly and then press the Enter key to submit the ballot.
Recommended: mark, tear, or throw away each paper ballot to ensure it is not accidentally entered again.
Track recorded ballots by event
Bulk-entered ballots are also included in the tracking data, ensuring comprehensive event records.
To check how many ballots have been recorded per event:
Click Balloting from the lefthand menu on your Dashboard
Click Record votes
Click Number of ballots recorded per event
This will show you a table that lists all events and the number of recorded ballots (both app + paper) for each event.
How to Enter Votes from Paper Ballots in Bulk
Entering large quantities of votes from paper ballots in Eventive can be done efficiently using the bulk entry feature.
Understanding Bulk Entry for Paper Ballots
The bulk entry feature allows you to input vote totals for each film based on collected paper ballot data. This ensures both paper ballot and virtual votes are appropriately tracked and accounted for in the final tally.
Steps to Enter Paper Ballot Votes
Navigate to the bulk entry section in Eventive.
For each film on the ballot, input the total votes collected from paper ballots into the appropriate field.
Calculate and include the sum of all previously entered votes (from paper or virtual inputs) alongside new entries. This ensures the final total reflects all sources.
Important Notes and Tips
Pre-existing Votes: The vote totals displayed include all previously entered votes. When you input new totals, you may overwrite the earlier entries. Be cautious and double-check calculations to avoid errors.
Editing Totals: Adjustments can be made to previously entered values; however, ensure the edits reflect the combined totals of all votes (paper and virtual).
Final Verification: Before saving the updates, confirm that the entered sum correctly includes all votes to prevent discrepancies.
