A complete guide to using the Eventive Scanner, our dedicated laser QR code scanner & credit card reader combo.

The Eventive Scanner is an iOS based laser barcode scanner + credit card reader combo that comes preloaded with the Eventive Scanner app configured for your event.

We’re thrilled that you’ll be using Eventive Scanners at your event!

Your Scanner(s) will arrive fully charged & configured for your event. Just take it out of the box, turn it on, connect to the internet, launch the Eventive app, and you’re ready to go!

There are two types of Eventive scanner available to suit your specific needs. Wifi scanners work by connecting with your event’s wireless network. If you don’t have access to a wireless network, we also rent scanners enabled with cell data for an additional cost.

Unpacking Tips

  • Make sure you save all packaging materials for returns. Some items come in bags— save those as well

  • Save the prepaid return shipping label that is enclosed in the box

An exact inventory of your order will be noted on the packing slip.

If any items are not returned or are found to be damaged upon return, you will be charged the full retail price of each item as well as applicable restocking fees.

How to Set Up Eventive Scanner

Your Scanners will arrive pre-authenticated for your organization. If a Scanner loses connection, see “I was logged out of the Eventive Scanner app. How do I reauthenticate with Eventive?” in the FAQs below.

You will need to connect each device to your event’s wireless network:

  1. From the Home screen, go to Settings --> Wi-Fi

  2. Turn on Wi-Fi

  3. Your device will automatically search for available Wi-Fi networks

  4. Tap the name of the Wi-Fi network that you want to join

After you join the network, you will see a checkmark next to the network and a Wi-Fi icon in the upper-left corner of your display.

IMPORTANT: Under no circumstances should you attempt to remove the iPod / iPhone from the scanner case. This tampering will be detected by the device and it will be rendered inoperable and need to be sent back for service.

For optimal performance, put the scanner to sleep by clicking the sleep/wake button at the top of the device when not in direct use (scanners are set never to go to sleep on their own) and turn the scanner all the way off / leave it charging when not in use for an extended period, either by plugging it into a charging outlet using the included wall block and USB cable or by placing it in the charging bay. In either case, both the scanner hardware and the iPod will be charged simultaneously.

When you’re ready to use the Scanner, disconnect the device from the charger, launch the Eventive Scanner app, then select the event bucket and event for which you’re scanning tickets.

By default, the Eventive Scanner app uses the iPod’s built-in camera to scan QR codes instead of the barcode scanner. You may need to “wake up” the scanner in order for the Scanner app to detect it and switch to barcode scanner mode. Do this by pressing the scan button on the right of the device. When it has been powered on successfully, you will see a “Ready to scan” message on the screen.

 

Press and hold the scan button and point the device at each ticket or pass QR code. A green screen will display a success message, and you will hear a high-pitched tone when the code has been scanned, and the audience member may enter the venue! A lower-pitched sound will play and an error message will appear on a red screen if the scan was unsuccessful. The error message will remain on the screen until you click “Dismiss”.

Scanning a ticket will mark the ticket as scanned.

Scanning a pass QR for a passholder who has reserved a ticket will mark the passholder’s ticket as scanned.

If “instant tickets” are enabled, scanning a pass QR for a passholder will issue an instant ticket to the passholder, provided that there are still tickets available. For more information on instant tickets, please see our article Create Instant Tickets for Passholders.

Scanner Tips

  • The optimal distance from the QR code varies according to the size of the code being scanned. For a one inch square QR code, hold the scanner 6 to 8 inches away from the barcode and perpendicular (at a 90 degree angle) to the ticket.

  • Position the scanner close to the QR code then slowly pull the scanner back until the scanner indicates that the QR code has been scanned.

  • A light green rectangle is emitted in addition to a red laser when scanning. Position the device so that this rectangle is centered on the QR code.

  • Ensure patrons have their brightness up and for best QR reading.

  • Use the search bar at the top of the event bucket screen to locate events.

  • Filter by venue if you are working with multiple locations and want a simplified view.

  • If your network or data connection is poor, you may need to refresh the data that is cached in the scanner every so often. To force the scanner data to refresh, click the refresh icon that is located within the desired screening in order to update the ticketing information for that screening. If your connectivity is particularly poor, you may need to move closer to your router or move to a place where your cellular network has a better connection in order to refresh.

Sell Rush Line Tickets

You can use Eventive Scanner to sell rush tickets or issue rush line tickets to passholders at the door by switching to Rush Line Mode. In addition to issuing any unsold seats, rush line mode will allow you to oversell the venue in the event that some of your ticket holders fail to show up. Select an event, then tap the “Rush Pay” credit card icon at the bottom of the screen to switch to Rush Line Mode.

Once in Rush Pay Mode, select the quantity of tickets you want to sell and the ticket bucket you would like them issued from, then swipe the customer’s credit card through the built-in credit card reader! Their card will be charged and a confirmation message will be shown on screen. When the order is completed, there will also be an option to add an email address to receive an email receipt. Adding an email address will also connect the rush ticket to the customer’s account.

Connecting an Eventive Reader or Terminal

Eventive readers and terminals can be used to collect payments from some card types that will not swipe through the built in card reader (ie. Interac, Apple Pay, Google Pay).

To connect an Eventive Reader or Terminal, click the credit card icon in the top right corner of the screen.

On the next screen, click “Switch reader type” to select the reader type that you would like to connect.

On the following screen, you will have two options, to connect via Internet to a or to connect via Bluetooth.

Connect via Internet will allow you to connect a BBPOS WisePad E terminal or a Stripe S700 Terminal (coming soon). Connect via bluetooth will allow you to connect a Stripe M2 reader, a BBPOS Chipper 2x reader, or a BBPOS WisePad 3 reader. See the image below to identify what equipment you are looking to connect.

Once the reader is connected, select the desired quantity of tickets and click “Place card order”, then prompt the customer to tap or swipe as required by the type of terminal or reader that is connected to the scanner.

Issue Rush Tickets to Passholders

If you require passholders to reserve tickets, you can use Rush Line Pass Mode to issue rush tickets to passholders.

To put the scanner into Rush Line Pass Mode, click “Rush Pass” in the bottom right corner of the screen.

When in Rush Line Mode, scan each pass and a ticket will instantly be issued and marked as scanned! If you need passholder tickets to come out of a particular ticket allocation, there is an option to change the ticket bucket before scanning a pass.

If passholder tickets to the event are not free (for example, if passholders just receive a partial discount), their saved credit card will automatically be charged.

Note: If a pass has a rule where the restriction "Only allow Rush Line ticket orders" is enabled, the pass will only scan (in situations correlated with this pass rule restriction) when the scanner is in rush line mode - if scanned outside of rushline mode, the scanner will display an error indicating that the pass is limited to rush line only.

How to Return Eventive Scanner

Thank you for using Eventive Scanners at your event!

Double check the "What's Included?" section above to ensure you aren’t missing anything. Using original packing material, please re-package all items securely, using new padding such as packing bubbles or newspaper if any original padding has been lost. You will be held liable for any damage to items during return shipment due to improper packaging.

Verify that the original shipping label has been removed or covered. Affix the included postage-paid return label securely to the exterior of the package.

Drop off the package at your nearest FedEx drop-off location, schedule a pickup via fedex.com, or include it with a regular scheduled pickup. Within Canada, Eventive shipments are sent via UPS, please note whether your shipping label is from FedEx or UPS and deliver it to the corresponding drop-off location.

IMPORTANT: Make sure that your return has been postmarked by the date indicated in your rental agreement. If postmarked after this date, a delayed return fee of 200% of the weekly rental rate will be assessed.

Eventive Scanner FAQ

I was logged out of the Eventive Scanner app. How do I re-authenticate with Eventive? 

Go to admin.eventive.org, log in, and scroll down to the bottom of the left side menu to click "More." Then click "Scanner Setup." Alternatively, go directly to admin.eventive.org/account/scanner. Then use Eventive Scanner to scan the QR code visible on your screen. That’s it — you’re logged back in!

I am being instructed to login to my Apple account. How do I do that?

You should not need to login to an Apple Account on an Eventive scanner. If you are being prompted to login, click ‘cancel’ to dismiss the prompt.
