Below are our tips and tricks for creating common membership types, and solutions to errors you may be experiencing.
After you've read our resources on creating membership buckets, creating membership rules for Ticket, Pass and Item orders, you may have questions that need troubleshooting.
Create different membership types using membership rules
All Access Memberships
Below are the membership rules you should set to create an All Access membership, which gives 100% off ALL ticket orders at your event.
NOTE: All access is more common to passes than memberships, but it is one of the most basic rule configurations and may still have some applications for memberships.
Type: Ticket Orders
Target: Apply to all ticket buckets
Result: 100 percent off
Use restrictions: Only allow on ticket per event per membership
We highly suggest selecting the box next to Only allow one ticket per event per membership. Selecting this box ensures that members cannot redeem multiple free tickets to a single event or screening.
Want this All Access rule to apply to most but not all of your screenings? Keep "Apply to All Ticket Buckets" selected, then use the "Ticket Buckets to Exclude" and/or "Tags to Exclude" sections to add the ticket buckets and screenings to exclude in this membership Rule.
Example: if there is a private event that you do not want All Access members to have access to, simply add the private event's ticket bucket to the Ticket buckets to exclude section. Now the All Access membership will allow free tickets to all events except that excluded event.
Want this rule to apply to just a few screenings? Specify the Ticket Buckets, Tags, and/or Venues to include in this membership rule instead of selecting "Apply to All Ticket Buckets."
NOTE: Venues only apply to physical (non-virtual) events.
Ticket Bundle-style rules
Below are the membership rules you should set to create a membership that allows a specific number of free tickets, ie. 2 free tickets to any regular screening:
Type: Ticket orders
Target: Apply to all ticket buckets
Result: 100 percent off
Use restrictions:
Total number of tickets per membership: 2
Set up your membership Rules like a standard All Access membership, then specify a number under "Total number of tickets per membership." This will allow audience members with this membership type to get up to X number of tickets for free using their membership.
If there are screenings or events that you want to exclude from the number of tickets allowed with this rule - for instance, you don't want free tickets to be deducted from the "Total number of tickets per membership" - you can use a tag to exclude free events from the pass rule.
Create member exclusive add-ons
Add-ons can be handy for access to special perks, merchandise, events and experiences that fall outside of your regular membership tiers.
For add-ons, if you want them to recur, you can build the add-on as a membership or if you want the add on to be a single time purchase with no recurrence / renewal, then build the add-on as a pass.
On the membership or pass bucket that is the Add-on, go the general settings tab and scroll down to Advanced settings.
Under the advanced settings, lock membership or pass sales to require a valid membership or pass rule in order to buy by checking “Sales membership-locked” or “Sales pass-locked”. This means that only a membership with a valid rule will be able to order the add-on.
For an add-on membership:
For an add-on pass:
On any membership that can be used to purchase the add-on, add a Rule to order the add-on.
Example: The following is a Special Event Add-on rule has been created that will allow a member to purchase a Special Event Add-on, there is no discount to be applied to this add-on and the member is restricted to purchasing only one of these Special Event Add-ons.
Type: Pass orders
Target: Apply to only the Special Event Add-on pass bucket
Result: 0 percent off
Number of target memberships per membership: 1
Create separate Ticket Buckets for Members
You may want members tickets to be pulled from a ticket bucket other than the ticket bucket used for standalone tickets.
Here's how to do that:
1. Go to the screening's edit page
2. Scroll down and click ADD NEW TICKET BUCKET
3. A new ticket bucket will appear under the existing ticket bucket(s). Change the new ticket bucket name to something that indicates the ticket bucket is for member reservations (ie. "Member Tickets").
4. Click "Restrict ordering to certain pass buckets only" on the new ticket bucket, then select the membership(s) you wish to include under "Allowed pass buckets".
NOTE: In this ticket bucket, the price has been set to the same as the General Admission price as the membership rules on the membership will apply the appropriate discount to the price of the ticket.
5. Click Save Changes, then go back to the membership bucket's membership Rules page and make sure the new ticket bucket is listed under "Ticket buckets to include" if "Apply to All Ticket Buckets" is not selected.
Create a membership-Only Event
To create a membership-only event when your Event Bucket Mode is set to Default, go to the screening's settings page, and under "Standalone Tickets," uncheck the box that says "Use default event bucket setting." Then select "Disable standalone tickets sales (only allow passholders)." Though this setting specifies passholders, it will equally apply to members. If you need to control which members or passholders have access to the event, you can add exclusions to your membership and pass rules as required.
Troubleshooting
If you don’t see memberships anywhere in your dashboard
Open the event bucket settings in the event bucket that you chose to host your membership program. Under the “Site Features” ensure that “Membership module enabled” is checked.
If your event bucket only has memberships, but doesn’t use passes
Open the event bucket settings in the event bucket that you chose to host your membership program. Under the “Site Features” ensure that ‘Membership module enabled”’ is checked. Beneath where the membership module is enabled, you can uncheck “Pass sales page & “My Passes” publicly visible to hide these features from your Eventive native site.
If memberships aren't displaying on your Buy memberships page
Launch Configurator, click the Memberships Tab, then make sure all the memberships you want visible for sale are selected in the "memberships to Display" box.
If the memberships button isn't displaying on your Menu
Are you sure that your event bucket mode is set to either Default or Pass Only? If your event bucket mode is Standalone Tickets Only, the option to buy or use memberships will not appear anywhere on your site.
If any of your events include a companion ticket
You must exclude companion ticketed events from the membership rules on a membership that allows a specific number of tickets, or else the companion tickets will be deducted from the membership's ticket allotment.
To ensure that companion tickets aren't included in the number of total tickets allowed on a Ticket Pack membership, add all the ticket buckets to the companion ticket screenings under "Ticket Buckets to Exclude."
In other words, if an unlock of Movie A gets a companion ticket to Movie B, add the Movie B ticket bucket under Ticket Buckets to Exclude.
Common configuration errors
If your membership isn't working as planned, please read through these common errors.
Missing a Target
If you do NOT select "Apply to All Ticket Buckets" AND do NOT specify any ticket buckets, venues, or tags to include, the membership will not work.
Missing Membership Rules
You might have set up everything on the General membership settings page, but didn't click on the membership rules tab.
No membership rules? Your membership won't work.
Allow your members to order tickets online
Is "Allow passholders to order tickets online" selected on your Event Bucket Settings page? If not, NONE of the memberships in your Event Bucket will work! This setting applies equally to passes and memberships, please leave it checked.
Are Ticket Orders Enabled?
Is "Enable ticket orders" selected on the membership bucket's general settings page selected? If not, that membership Bucket will NOT work!
Is concurrence preventing your members from ordering more than one ticket?
Is "disallow concurrent uses" selected on one or more of your pass rules?
If yes, and you have virtual screenings with overlapping (or identical) availability windows and/or physical screenings that start/end at the same (or overlapping) times, members cannot order tickets to screenings with overlapping availability windows. Fix this by unselecting "disallow concurrent uses"
Membership isn't applying to some events
Is a membership working for some events but not all? Go to the screening that's having problems and check:
Is "Sales Locked" selected? It should NOT be selected if you want your audience to unlock tickets.
Is "Public for online customer orders" selected on your ticket bucket(s)? If not, no one will be able to unlock tickets.
Did you add anything under Pass Rules Override on a screening's settings page?
If anything is added here, only what is configured will be applied, all other memberships or passes will no longer apply. If the Pass rules override is blank, no passes or memberships will apply.
CLICK REMOVE - even if there is nothing entered in the spaces, like in the screenshot below.
NOTE: Most membership rules and membership rule exceptions should be able to be built directly into a membership. It is very rare that a Pass rule override is necessary. If you are unsure if you should use a membership rule or a pass rule override and you need guidance, please reach out to Eventive support using the blue chat icon in the bottom right of your Eventive dashboard.
Testing your memberships
Use the Box Office to test that your membership Rules are working correctly!
Add a ticket to the Box Office order, select "Passholder reservation," add a membership name.
Example: To make sure that the 20% discount membership rules created for the Cinema Membership works, add a ticket that should be discounted by this rule to the cart in the Box Office and then apply a Cinema Membership. When the membership is applied, the $10 ticket should be discounted to $8.
When I select one of those Fun Film memberships, I see that the price for the ticket is discounted to 100% off, confirming that my membership Rule works!
