Create Membership Buckets

Enable recurrence to create Memberships that automatically renew and use Global Pass Rules to apply benefits across annual events.

Before you can create membership buckets, you will need to enable the membership module.

Create a Membership bucket

  1. Click “Memberships” in the menu on the left hand side of the screen

  2. Click “Create a new membership”

  3. Fill out the settings in the General tab

  4. Fill out the settings in the Membership Rules tab

  5. Click Save!

The two sections of the Membership Bucket editor that are required in order to create a functioning Membership are the General Tab and the Membership Rules Tab.

General tab

Start by filling out the General tab, which is the first tab of options available when you open the Membership bucket editor.

Name & URL code

In these fields you will set the name of your membership bucket and the URL code.

When you set the membership name, the URL code will be auto-populated. This URL can be used if you would ever like to share a direct sales link to this specific membership - this is helpful for inclusion in social media posts, emails & other marketing outreach.

Price & Quantity

Use the price and quantity fields to set the price of a membership as well as the number of memberships available for sale.

By default, the quantity of memberships available is unlimited. If you would like to restrict the number of memberships that are available, uncheck “Unlimited quantity for sale” and specify the quantity you would like to make available for sale.

Recurrence

Recurrence refers to your renewal period. Members will automatically be billed when the specified renewal period comes up. The default renewal period is 1 year, but you can enter any number you like and the intervals can be set in days, weeks, months or years.

NOTE: When creating a membership in the Membership module, recurrence is a core feature of Memberships that cannot be turned off in the membership bucket settings. If you do not want to use recurrence, consider creating a pass instead. Passes can be created with or without recurrence.

Custom manual renewal price

To incentivize your customers to renew their memberships early (before their membership is set to expire), you can set a custom renewal price. To renew at this price, the customer will have to go to their subscriptions page to initiate the order. This setting is not selected by default.

If a customer waits for their membership to renew automatically, the membership will renew for the full purchase price of the membership. In the example above, a member who renews early online will save $10.

Cancellation

Ticket cancellation for a membership is similar to ticket cancellation for a pass. This setting is not selected by default. If you would like your members to be able to cancel tickets ordered with their membership, check “Ticket cancellation allowed”. Cancellation only applies to free tickets. If a membership holder needs to cancel a paid ticket, they will need to reach out to you for assistance. Ticket Transfer

Ticket transfers for a membership are similar to ticket transfers for a pass. This setting is not selected by default. If you would like members to be able to transfer tickets ordered with their membership to another user (friend, family, loved one or colleague, etc.), select “allow members to transfer tickets ordered with membership”. NOTE: Membership tickets that are transferred from the member to another user still count against the member’s benefits.

TIP: The ability to transfer a membership ticket can be a passive marketing strategy - if a member can share their benefit by transferring a ticket, the recipient may enjoy themselves and decide to become a member.

Quantity price breaks

You can create volume discounts by using quantity price breaks. Quantity price breaks can be helpful for setting up Dual Memberships.

Gift purchases

Select this to allow this type of Membership to be purchased as a gift. This setting is not selected by default. Please visit the following link to learn more about gifting Memberships.

Advance Reservations

You can adjust the requirement for members to make advance ticket reservations for a specific Membership bucket. If you want the requirement to be different from the default event bucket setting, uncheck “Use default event bucket setting”. This setting functions the same as advance reservations for passes, to learn more about Advance Reservations and Instant Tickets for Members.

Status

You can enable or disable benefits for an entire membership bucket by either selecting or deselecting "Enable ticket orders". This setting is selected / enabled by default. Deselecting this setting will make it so that no one with the corresponding type of membership will be able to redeem their membership benefits for tickets.

Advanced Settings

Click "Show advanced settings" to edit these settings:

Sales locked

When sales are locked, a customer would require a valid discount code in order to purchase this Membership. This setting is turned off by default. This setting works the same way as locking the sales of tickets and passes, please visit the following link to learn more about creating codes to buy locked tickets, passes and memberships. Currently the messaging for this feature is not customizable.

Sales Membership-locked

Select this to make this Membership bucket only available for purchase by customers who already have a Membership. Enable this to create a Member exclusive add-on. This setting will disable standalone purchases of this Membership.

Allow users to access scannable barcode from their "My Memberships" page

Leave this selected if your event is in-person or hybrid and you want to generate barcodes that can be scanned at the door for admission to your events. Unselect this box if your event is virtual as the QR code is only needed for in-person events.

Require Memberships to be checked in using “Pick up Memberships” before they can be scanned at Physical Events

The “Pick up memberships” is located under the Memberships heading in your event bucket. This setting is useful if you have printed memberships that need to be picked up or need to verify any form of identification before activating a user’s membership. During the pandemic, pick-up / check-in was useful for verifying a customer’s covid status before allowing them access to an event. If a member tries to scan into an event before getting Checked In, the Eventive Scanner will flash red if this setting is enabled.

Visible for sale in Box Office

Leave this selected in order to issue this Membership to customers using your Box Office. This setting is enabled by default. When enabled, you’ll be able to add Memberships to the cart in the box office by clicking the +Membership button.

If a particular membership is not currently being offered for sale, you may choose to uncheck this setting in order to streamline the amount of memberships visible for sale in the box office.

Use Global Pass Rules

TIP: Create your Membership passes in a separate "Memberships" Event Bucket!

After you've created a Membership Bucket in the Memberships Event Bucket, enable global pass rules then add this year's event to the "Target event buckets" menu. Each following year, simply add the current year's events to the "Target event buckets" menu, and so on.

For example, consider a membership type in which members receive 50% off a pass to Awesome Film Festival. You would create a 50% off passes membership rule in the Membership Bucket, enable Global Pass Rules, and select the 2021 Film Festival event bucket.

In 2022, instead of creating an entirely new pass bucket, simply add the 2022 Film Festival event bucket to the Membership Global Pass Rules, and the Membership Bucket benefits will apply to the 2022 event bucket!

Messages

Custom Renewal Messages

Navigate to the Messages tab to create a custom renewal email message!

  • Notify members of new benefits they'll receive upon renewal

  • Periodically update the message to keep users in the loop of what events they'll be able to access with their renewal

  • Remind users how their membership or subscription supports your organization

  • Encourage members to renew early

You can also schedule a secondary early notice email to be sent 14, 21, or 52 days before renewal!

Supplementary Data

Collecting supplementary data from membership holders functions the same as collecting supplementary data from Passholders. To learn more about collecting supplementary data when selling memberships, please visit our article Collect Supplementary Data from Members.

Discounts + Recurring Passes

If a customer uses a discount code when making the initial purchase of a membership, it's possible that you do not want that discount code to be used again when the membership renews. Fortunately, you can specify whether a discount code is for one-time use only, or if its benefits should continue to be applied to membership renewals.

For example, a "$10 off your first membership order" discount code should be set for one-time use, whereas a 25% off discount code for seniors would likely be set to apply to both first orders and renewals.

These settings are configured on your Discounts edit pages.
